What type of information we have

We currently collect and process the following information:

  • Personal identifiers, contacts and characteristics. Depending on the method and purpose of the contact, we may collect your name and contact details, information that you provide to us as part of a current or prospective business relationship with us, and/or, if you are applying for a position with us, we may collect and process your curriculum vitae (CV) and references.

How we get the information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • You have contacted us via email or telephone with an enquiry (for example, regarding a prospective or current business relationship with us, or for careers opportunities).
  • We have contacted you to obtain your opt-in consent that you wish to be added to our marketing mailing list in order to receive an occasional newsletter.

We also receive personal information indirectly, from the following sources in the following scenarios:

  • If you have accepted non-functional cookies, Google Analytics collects information about your usage of the website, including pages that you have visited, and, for example, your IP address and country of origin.

What we do with the information we have

We use the information that you have given us in order to:

(a) maintain or establish a contractual business relationship with you.

(b) manage your careers application if you are applying for a position with us.

(c) keep a record of personal data for insurance purposes, e.g. if we have work experience placements.

(c) maintain an opt-in mailing list which we use to send occasional newsletters.

(d) improve our website content and Search Engine Optimisation (SEO).

We may share this information with external organisations if we are required to do so for regulatory or legal reasons.

How we store your information

Your information is securely stored at our registered business address in Stevenage. We also maintain secure off-site backups for disaster recovery. These are kept in a UK-based cloud storage location which uses end-to-end encryption.

We keep names and contact details related to business relationships until you ask us to delete them, unless a regulatory or legal reason prevents us from doing so. We review our contact database approximately every 18 months in order to delete any defunct contacts and to update existing contact details. If you apply to us for employment but we don’t have any suitable positions, we will keep your CV on file in case of future requirements. We maintain HR-relevant records including CVs for a period of 6 years in accordance with government regulations. We will then dispose your information by deleting it from our file system. The data will be deleted from our backups within a week.

Your right to rectification – You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
